Client Portal
The Client Portal gives your clients one link where they can see all details for their event. It keeps your communication clear and reduces repeated questions. This guide explains how to turn it on, how to share it, and what each section does.
- Go to Settings.
- Select Client Portal from the left menu.
- You will see several sections you can turn on or off.
- Choose the sections you want your clients to see.
- You can change these settings at any time.
The sections are:
- Event details
- Invoice details
- Messages
- Song choices
- File downloads
- Questionnaires
You share the portal through your email templates.
- Go to Settings.
- Open Email Templates.
- Add the merge field [[portal]] to any template.
- When you send the email, your client will receive a personalised link to their event.
You can insert the merge field by typing:
[[portal]]
If you add this to your Online Confirmation Autoresponder, clients receive their portal link as soon as they confirm the booking online.
Event details
Clients can check the event date, time, venue, and contact information. This keeps things clear and avoids confusion.
Invoice details
Clients can view all fees and invoices linked to the event.
They can see the status for each invoice and pay them if Card Payments are activated.
Messages
Clients can send you notes through the portal. These messages are sent to you by email and also appear on the event record. For example, a client can upload a running order or send key information for the night.
Song choices
Clients can search for songs through Spotify and add tracks to your PLAY list and DO NOT PLAY list. These choices appear on the event record and can be added to your job sheet.
File downloads
You can upload files such as insurance certificates or safety documents. Clients can download these at any time.
Questionnaires
You can build a custom form with text fields, dropdowns, or multi-choice answers.
These forms work well for pre-event checklists, access notes, and feedback. You will receive an email when a client completes a form, and the results will appear on the event page.
- Add the portal link to your booking confirmation email.
- Upload your common documents once so they stay available for all events.
- Keep the number of sections simple for each type of booking.
- Create a short pre-event checklist to gather the details you need most.
